Reports to:

Senior Project Manager

Main Purpose:

Providing a key administrative and clerical support role within the Berthon project office.

Roles and Responsibilities:

Working as part of a team, providing effective administrative and clerical support to the project managers in the effective organisation of the project and contract department.

Typical duties would include the following;

  • Establishing and maintaining project documentation (paper & electronic).
  • Reviewing project progress, maintaining records and producing progress reports.
  • Preparation of project estimates and task documentation, submitting to client and logging authorisation status.
  • Preparation of stage payments and invoices, submission of claims for payment and following up payment.
  • Arranging meetings, organising facilities and support resources, recording minutes and following up action points.
  • Dealing with telephone and email enquiries.
  • Word processing and composing correspondence.
  • Assisting with project tender process.
  • Assist with negotiating and placing orders for components and services with suppliers and sub-contractors.
  • Establishing and maintaining filing systems (paper & electronic).
  • Administration of the company’s security operating procedures, including visitor and staff registration, access and entry control to premises, control of protected information and material.

In addition to the above, further duties as may be determined for the effective and efficient running of the company.

Skills & Abilities:

Essential

  • Effective verbal and written communicator.
  • High levels of computer literacy.
  • Good attention to detail and accuracy.
  • Flexibility and ability to identify support requirements.
  • Able to use own initiative and work unsupervised.

Desirable

  • Knowledge of marine terminology.

Salary & Benefits:

  • Salary based on experience and skills.
  • Full time, with options for flexible working.
  • 33 days holiday per annum, including bank holidays.
